Capabilities · 01

Everything the job needs. Nothing it doesn't.

Most CRMs were built for sales reps in cubicles: menus, modules, and per-seat fees. CalloutCRM is built for the truck, the door, and the next address. Twenty-one tools, one price, zero add-ons.

Jobs & status

From PENDING to DONE with crew, line items, before/after photos, and an audit log of every change.

Scheduling & calendar

Set availability, drag jobs onto a week view, block holidays. Customers pick open slots from your site.

Invoicing & payments

Generate invoices straight from jobs, email a payment link, accept cards via Stripe. Batch-create for routes.

Customers

Billing & service addresses, notes, full job history, referral codes. Find anyone in two keystrokes.

Estimates & quotes

Send line-itemed quotes; customers approve online; one click converts an accepted quote into a live job.

Map & route optimization

Every job pinned. Filter by day or crew. Optimized driving order with estimated drive time between stops.

Your website, included

Hosted on your own domain with HTTPS. Booking, contact form, and online payment. Live, day one.

Recurring services

Set a cadence once (weekly, monthly, quarterly) and the calendar fills itself. Cancel anytime.

Follow-ups & reminders

Quote follow-ups, seasonal check-ins, "still good?" pings. Schedule them once, forget them, ship them.

Review requests

Auto-send Google, Yelp, or Facebook review links after job completion. Track click-through rates.

Referral program

Each customer gets a unique code. Track who referred whom; auto-discount their next job.

Customer portal

Each customer gets a login: open jobs, pay invoices, accept estimates, edit details. Less back-and-forth.

Time tracking

Clock in/out per job. Hourly rates, billable vs non-billable, total labor cost rolled into reports.

Expense & profit margins

Log materials per job. See which jobs actually made money before you book the next one like it.

Dashboard & reports

Revenue trend, jobs closed, average ticket, top customers, acquisition source. The numbers that matter.

Digital signatures

Capture sign-off on estimates and completion forms. Timestamped, IP-stamped, archived alongside the job.

Tags & segments

Color-coded tags on customers and jobs. Filter by service type, priority, area, or whatever your business runs on.

Workflow automation

Triggers on job state, invoice paid, or contact form. Does the boring follow-up work so you don't have to.

Custom fields

Define your own fields on customers and jobs: text, dropdowns, checkboxes. Every business has its quirks.

Batch operations

Update statuses, generate invoices, send SMS in bulk. Dozens of records in seconds, not one at a time.

REST API

Full read/write access to customers, jobs, invoices, estimates. API keys, rate limits, the usual.

How it runs · 02

The whole loop, visible at once.

Estimate → book → show up → bill → collect → rebook. Every step lives in the same record. No Zapier between three apps; no asking your tech "did we send the invoice yet?"

02.A · The Job Record

One record follows the work from sidewalk to settled.

The same Job ID a customer sees on their booking confirmation is the one your tech checks off on site, the one Stripe collects against, and the one your reports tally up at the end of the month.

02.B · The Day

Tomorrow's route, planned in 30 seconds.

Open the map, pick a day, pick a crew. CalloutCRM stitches the optimal driving order, accounts for service windows, and sends a tap-to-navigate link straight to your tech's phone.

Same job. A lot less plumbing.

Most CRMs in this category charge per user, hide essentials behind tier upgrades, or both. Here's where the bills land for a comparable feature set.

Questions · 06

Things people ask before they sign up.

Direct answers, no marketing prose. If your question isn't here, email hi@calloutcrm.com. A real person reads it.

How is this different from Jobber or Housecall Pro?
Same category, different posture. Those tools charge per user and meter automation, customer portal, or your website behind upgrades. We bundle it all into one flat tier and never charge per seat. If your crew grows from two to five, your bill doesn't change.
Do I really get a website?
Yes, on a subdomain like yourshop.calloutcrm.com at any tier, with HTTPS, contact form, online booking, and invoice payments built in. Bring your own domain on Professional and up.
Can I import my existing customer data?
CSV import covers customers, jobs, and invoices. We've imported from Jobber, HCP, Quickbooks, and a lot of dusty spreadsheets. If your file is weird, send it to support and we'll clean it together.
What does payment processing actually cost?
CalloutCRM doesn't add a markup. You connect your own Stripe account; their standard rate (2.9% + 30¢ for cards in the US) applies, and the money lands in your bank, not ours.
What happens after the 14-day trial?
If you don't pick a plan, your account pauses. Data stays intact for 90 days. Pick a plan any time during or after and pick up exactly where you left off.
Can my customers actually book online without me lifting a finger?
Yes. Set your services, durations, and weekly availability once. Your booking page goes live on your CalloutCRM-hosted site; bookings drop into the calendar with the customer record auto-created or matched.
Is my data exportable if I leave?
Always. CSV exports of every entity from any tier. On Business, you get full database snapshots through the API. We charge nothing to leave.
